The Director of First Impressions creates a positive and welcoming experience for clients, visitors, and employees. This role focuses on ensuring that all interactions and touchpoints reflect the organization’s values and leave a lasting impression. The Director of First Impressions serves as the face and voice of the company, responsible for managing the front desk or reception area and ensuring a seamless and professional experience for our clients.
Key Responsibilities:
Greet and welcome visitors, clients, and employees in a warm and professional manner.
Answer phone calls, direct inquiries, and provide accurate information to callers or visitors.
Maintain a clean and organized reception area and office.
Manage incoming and outgoing mail and packages.
Create a positive and memorable experience for clients and visitors by providing exceptional customer service.
Assist clients with appointment scheduling, meeting room arrangements, and any other requirements they may have.
Anticipate and promptly address client and visitor needs.
Serve as a central point of contact for internal and external communication.
Coordinate with team members to ensure smooth operations and resolve any issues or concerns raised by visitors or employees.
Provide administrative support as needed, including data entry, document scanning, document preparation, and maintaining records in company systems.
Manage office supplies, inventory, and equipment maintenance for the office.
Order and send client gifts for special occasions.
Prepare client reviews and follow-up letters.
Send meeting summary letters to clients and prospects.
Maintain data integrity in firm systems like CRM, financial planning tools, etc.
Develop and maintain written systems of all activities in company Knowledge Base software.
Requirements, Skills, and Abilities:

Smiling voice on the phone that communicates a positive and professional energy to clients and prospective clients.

Excellent organizational and time management skills.
An ability to handle multiple tasks within tight time frames.
Proficiency in Microsoft Office Suite.
Strong verbal, written, presentation, and interpersonal communication skills.
Timely attendance is an essential function.
Knowledge of financial markets and investment securities helpful but not required.
Knowledge of Salesforce CRM, Box.com, and DocuSign helpful but not required.
